Messaging operations

Every message answered.
You decide what sends itself.

Sayliss brings your Facebook Page, Instagram, WhatsApp and email conversations and comments into one inbox. It reads every message, including voice notes, photos and PDFs, looks up the facts in your own systems and suggests a reply. A person approves it, or, for the kinds of message you have chosen, it replies on its own. Email replies are always sent by a person.

Every reply starts as a suggestion. You choose which kinds of message may send automatically.

The problem

Small teams lose messages, not customers.

A growing business ends up with four inboxes and one person. Enquiries arrive at every hour and sit unanswered because whoever can answer them is doing something else. The usual fix is a chatbot with a decision tree, which customers see through in one message and which cannot answer the questions that actually matter.

It reads everything

Voice notes are transcribed, photos described and PDFs read before a reply is suggested. If a file cannot be read, the card says so.

It checks the facts

Orders and delivery status are looked up in the systems you already run. If a fact cannot be checked, the message goes to a person.

You set the rules

Every rule starts as "suggest only". You decide which kinds of message may reply automatically and which always need a person, such as prices, refunds or complaints. One switch turns all automatic replies off.

It protects the customer

Order details are shared only with the customer on that order, and never in a public comment.

One inbox for your channels

Messenger, Instagram messages, comments on your Facebook and Instagram posts, WhatsApp and your business mailboxes, in one place. Each business sees only its own conversations.

Your data stays yours

Conversations are stored in a database in your own account, and AI runs on your own AI provider account. Sayliss's connection service, which receives messages from Meta and sends replies, runs in the EU.

In practice

What arrives, and what Sayliss does with it.

Most enquiries are not neat text. Illustrations only; names and figures are invented.

A photo, no words
[image attachment]
Described: a torn courier bag with the product visible inside, waybill partly legible. Held for a person as a possible damage claim.
A 40 second voice note
[voice note, 0:41]
Transcribed: "…changed my address after checkout, can you send it to the new one." Order located; held for a person because it changes an order.
A PDF from a supplier
[document: statement_july.pdf]
Read out: invoice INV-4471, dated 24 July, R18 430.00 due 30 days, two line items queried. Summarised on the card so the numbers are visible without opening the file.
How it works

Four steps, and your rules decide the last one.

Sayliss does the reading, the looking up and the writing. Your rules decide whether a person approves the reply or it sends itself.

01

A message arrives

On Messenger, Instagram, WhatsApp or email, or as a comment on one of your posts. Voice notes are transcribed, photos and PDFs read.

02

Facts are gathered

The order, the delivery status and the earlier conversation are pulled before anything is decided.

03

A reply is suggested

In your voice, for that channel, at the right length, with identity checked before any order detail is shared.

04

It is approved, or sends itself

A person approves it, or a rule you have switched on sends it within Meta's 24-hour window. Email replies are always sent by a person, from your own address. Every send is recorded with who or what sent it and why.

Data & security

We hold as little as possible, for as short a time as possible.

We are an operator acting on our clients' instruction, not the owner of their customers' information. We work under the Protection of Personal Information Act, 2013.

Stored in your accounts

Conversations live in a database in your own account, and AI runs on your own AI provider account. Never sold, never used for advertising, never used to train AI models.

Minimal central copy

Sayliss's connection service keeps incoming messages for up to 30 days for delivery and fault-finding, then deletes them. Access keys to your Meta accounts and your mailbox app passwords are held encrypted and never shown to anyone.

You can have it deleted

Anyone whose information we process can ask for its removal and we act within 30 days. See data deletion.

Our privacy policy names every third party that processes data on our behalf, where they process it, and how long each category is kept. Our terms of service set out what we will and will not allow the service to be used for.

Questions

The things people ask first.

Can it send a message on its own?
Only where you allow it. Every rule starts as "suggest only"; you can switch a rule to automatic at any time, and the app shows how often its suggestions were approved unchanged. Automatic replies are only sent within 24 hours of the customer's last message, and anything your business has marked as needing a person always waits. One switch turns automatic replies off.
What happens when it does not know the answer?
It does not guess. The message goes to a person with what the customer said and what was looked up.
Will customers know a reply is automatic?
Yes. Automatic replies say they come from the business's automated assistant, and the customer can reply "person" at any time to reach the team. We do not build assistants that pretend to be a named human.
Do you use our customers' messages to train AI models?
No. AI runs on your own AI provider account, on paid terms that exclude training, and we do not build models of our own from client data. This is set out in our privacy policy.
What if a customer sends a photo, voice note or PDF?
It is read: voice notes transcribed, photos described, PDFs read. The result sits on the card next to the original. If a file cannot be read, the card says so.
What happens if something breaks?
Incoming messages are stored as soon as they arrive, and a daily health check confirms each connection is still receiving. If one stops, you are told.
Which systems can it read from?
The ones you authorise. Typically your online store for orders and delivery status. You can withdraw any authorisation at any time.
Does Sayliss change my mailbox?
No. It reads new mail without marking it read, moving or deleting it, and skips newsletters and automatic mail. Replies go out from your own address through your own mail server, in the customer's thread. You connect a mailbox with an app password, and deleting that app password cuts off access at once.
Where is my data?
In your own accounts, plus a copy of incoming Meta messages kept for up to 30 days in Sayliss's connection service in the EU. Emails go straight to your own workspace. See our privacy policy.
